How to Manage Your Google Apps Data By Organizational Unit

The Organizational Unit (OU) structure in Google Apps lets administrators decide which services are available to which users. For example, companies may want the Marketing department to be able to post videos to YouTube, but may want to restrict access to other departments.

CloudLock extends the Google Apps OU functionality by giving administrators the ability to manage Google Apps data by Organizational Unit. Using CloudLock, admins can choose to scan only those documents and users within selected OUs, or can scan the entire domain and filter documents and users by OU.

How to scan only documents and users in specific Organizational Units using CloudLock:

  1. Select Scan Settings
  2. Check ‘Scan selected organizational units only’
  3. Click on ‘Configure Organizations’ to specify which Organizational Units you would like to include in the scan

Limiting the scan scope to selected organizational units only can be useful for:
  • Quick visibility into specific OUs – Selecting only a subset of OUs results in faster scan speed
  • Seeing only relevant data – Some Universities organize students and staff/faculty in separate OUs and are only interested in scanning one of the two OUs

  • Secure exposed documents for a specific organizational unit by removing public sharing or everyone sharing exposure for all documents owned by users that belong to a specific organizational unit
  • View and audit all users of a specific organizational unit to review sharing patterns and exposures
  • Perform bulk operations like adding to or removing collaborators from documents owned by users in an OU
